HMIS Technical FAQ's

   

If your agency needs assistance in gaining access to the HMIS system there are many option available, and the best solution will be a function of your agency’s environment variables.  Some of these variables include costs, funds available, number of computers, network, Internet access, and physical environment.  This FAQ hopes to clarify exactly what is needed by agencies to gain access to the HMIS system based on regulations and software requirements, as well as provide multiple alternatives to resolve any needs.

1. What hardware are required using HMIS?

      -  Processor: Intel Pentium III processor or higher. Help
RAM Memory: The PC should have at least 256 MB RAM and minimum. of 500 MB  free disk  space or greater and 500 MB on Boot Drive. Help
Screen Resolution: The lowest screen resolution should be 1024 x 768.
CD-ROM drive
Network Interface Card (NIC)

2. What Software are required using HMIS? 

      -   Operating System (OS): You need  Microsoft Windows 2000 or higher (Windows 98 no longer supported by Microsoft)
-  Internet browser software: The browser must have 128-bit encryption ability or Internet Explorer 5.1 or higher. Help
Microsoft Data Access Components (MDAC) 2.8 or higher if available.
Microsoft DotNet Framework 2.0
-  Windows Installer 3.0
or higher if available.

Except for Operating System, the rest are free software and components from Microsoft. Click here to download software and components.

3. What are the security requirements in order to use HMIS? 

      -  Firewall: If your computer is connected to the internet or a network, and personally identifying information is accessed through that computer, a firewall must be present either on that PC or as part of the network. Help

4. What type of internet access do I need in order to use HMIS? 

-          You will need broadband internet connection with minimum of 128 kbps upload speed and 768 kbps download.

5. Is there any other optional software associate with HMIS that I might use in the future? 

-          Yes, in order to use downloaded data from HMIS, you should have software that can interpret comma-delimited files, such as Microsoft Excel, MS Word or MS Access.  It is not a requirement that you have this software since it is not required that you download HMIS data. 

-          Compressed File Expander: For computers that will download data from HMIS, it will need a compressed file expander to unzip the file.  WinZip and Aladdin Expander are of this type of software.  It is not a requirement that you have this software unless you intend to download data. 

-          Adobe Acrobat Reader 7.0: For computers that will download reports from HMIS, it will need Adobe Acrobat Reader. You can download this software free at www.adobe.com.

6. Do you have any software and hardware purchase recommendation? 

Yes, You can go to www.techsoup.org to find both hardware and software at a discounted rate if you have 501(c)(3) status.  Although it is not free, it is much less expensive than purchasing it from a retail store. 

-    Virus Protection: Software is also available from TechSoup.Org for virus    protection. 

-     Operating System: Upgraded software may be available from TechSoup.Org for a discounted rate.  Also, for the more technically savvy there are operating systems that are free of charge (Linux-based). 

-     Standard office software: TechSoup.Org also has an option to get standard office software.  Beyond discounted Microsoft Office licenses, they also present a number of free software solutions too.
